Clubs making use of this Register are asked to contact the Guest Speaker direct, bearing the following points in mind:

  1. Clarify exactly what the Speakers topic and title will be for the presentation and importantly how long the presentation will be.
  2. Presentation fees should be negotiated separately with the speaker concerned as distance and time spent traveling etc may influence the payment. NOTE: Arrangements MUST be adhered to.
  3. Preferably confirm the booking in writing or email, particularly if it is some months ahead - and explain in detail how to find your venue and the entrance etc.
  4. Detail a member to meet the Speaker and show them where to park etc. Preferably allocate a parking space close to the venue entrance for the speaker if they have equipment etc to bring.
  5. Make sure that the Speaker has a glass of water available to them during the presentation.
  6. Determine what equipment/space the Speaker will require and ensure that any equipment provided by your club such as slide projector, screen, etc. is in good working order and, in the case of projectors, will actually accommodate the Speaker’s memory stick/CD/DVD/slides!!
  7. Many speakers often have more talk topics variations available than listed. Please contact individual speakers for further information.
  8. Determine whether speakers have items for sale to your members at the presentation, so you can give club attendees advance information.
  9. If there is supper and coffee/tea after the presentation ensure someone organizes some for the speaker as the speaker often has to pack up their equipment etc and they get waylaid by members asking questions.
  10. Finally, and importantly if your total meeting is scheduled for a specific time period, ensure you do not let the pre meeting run over-time so it impacts on the agreed time allocated for the speaker. Many speakers have set presentations and by shortening their time allocation this can be disconcerting to the speaker.
